Board/committee elections (Indy)
- A comment was raised in the chat suggesting that there was insufficient time and opportunity provided for the nomination and voting procedure for the board positions.
- The comment was raised on the morning of the GM but the meeting agenda had been posted a week before. Although the comment may not be entirely fair, there was general agreement to redesign the and reschedule the nominations to address timing and accessibility.
- Recap: the three roles being voted on are formal board positions only and do not necessarily involve significant responsibility beyond being, for example, a signatory on the bank account, etc.
- ACTION: Indy will redesign the nomination and voting process.
- ACTION: Indy will create a SS Crew chat for the nominations.
- Nominations will now close on the 28th of December.
- The elections will be held on the next GM to be held on Wednesday, the 4th of January. A process for proxy voting will be in place.

Application for Incorporation (Kevin)
- The target date for submission has been moved from the end of the December to mid-January in view of the new election dates.
Initial association membership (Kevin)
- For incorporation, the association must have at lease seven members.
- Initial membership taken as Ratz, Mel, Liz, Lauren, Indy, Kevin and Cedryck; Cedryck not present but had previously agreed)
- ACTION: Kevin to collect details for initial membership.
New name for incorporated association (Indy)
- The suggestions and voting for a new name will be postponed to match the board election dates.
- Suggestions will be taken online through the dedicated SS Crew chat until the 28th of December.
- Online votes will be taken until the start of the next GM on the 4th of January.
Preparation of application for incorporation
- Kevin has volunteered to prepare the application.
- VOTE: Kevin unanimously appointed to prepare incorporation application.
Tenancy negotiations with Communify/Belong (Indy)
- We need to be prepared for the tenancy negotiation in 2023 as we will need to know what to negotiate for. This will require us to clearly articulate our identity, purpose and values and to know our procedures, future directions and requirements. We need an online process to discuss and consolidate.
- Proposal: drive the discussion through the Manifesto WG.
- ACTION: Indy to add Mel, Ratz and Lauren to Manifesto WG.
Travel budget
- Support of our community is fundamental of our values and the travel budget needs to reflect this (Lauren)
- Vote: unanimous in support of introducing a travel budget.
Christmas/New Year Break
- We will close the kitchen and Free Shop after Christmas Day
- We will reopen on Wednesday, the 8th of February.
Future general meetings
- Proposal: In order to facilitate better planning, future general meetings will be held on the first Wednesday of every month. We should meet at 5:30pm for a 6:00pm start. (Indy)
- Next GM: Wednesday, 4th of January (in accordance with the proposal)
