Wiki demo (Kevin)

  • Chat to Kevin to get login to wiki
  • Webpage we can all view and edit, can capture how it evolves over time
  • Wiki address: tss.situ.net.au
  • Open-source software package, called tiki wiki (Google to troubleshoot)
  • Kelly suggested recipe sharing


REPORTS

Belong (Indy)

  • Belong called a meeting last week to document volunteers
  • Sense within Belong that we are their volunteers, that TSS is their project
  • If TSS is absorbed by Belong, TSS may lose volunteers
  • Hall booking will now require public liability, increased complexity (for insurance)
  • Legally, certain organisations can’t book communal spaces
  • Belong wants to know about every group using the space, report to BCC
  • Current CEO is more open to grant-funded projects running
  • Kevin says that the new CEO is ‘by the book’ but willing to work with TSS
  • Kevin says that we need to renegotiate our wants from Belong
  • Liz says that meetings can be facilitated if they aren’t publicly named as a political, church group
  • Work with groups to help keep them in the space eg tell the church group to not play loud music
  • Eating from the humble pie


Management (Ru)

  • Not sure what the group was meant for, possibly maintaining relationship with Belong
  • Entirety of the working group don’t want to do that


Groundskeeping (Tom)

  • Chat initiated and group defined: looking after the external of the space, general garden maintenance, excluding
  • Lawns mowed and tasks identified
  • Contact group member if you have suggestions of tasks that need doing
  • Edible plants seedlings sourced by Ru living at Toms
  • Volunteers to perhaps go to help potting seedlings
  • Native lawn in the future?


Shopping (CC)

  • Shopping technique in blue folder near toolbox
  • Written by Liz in Liz language, translation in progress
  • Systems to identify what’s needed, making a stocktake in the wiki
  • DIY drinking chocolate powder, perhaps DIY baking powder
  • Long term goal: avoid desperate dashes to the shops


Finance (CC)

  • There exists an “in and out” ledger
  • Monthly counting of donations box
  • Petty cash envelope in donations box, to avoid dipping straight from donations
  • CB drafting document about attitudes toward money to exist as guiding principles for volunteers and guests/customers
  • Better signage about what we need to encourage food donations
  • Bank account: suggested Australia Bank
  • Oliver says donations can be made straight to the account
  • Camilla actions herself to make an appointment with Australia Bank
  • Receipt’s folder, organised monthly, write on receipt, who, date and
  • Budget in development
  • Upcoming costs: gardens (soil) & laundry
  • Wholesale spices in Woolloongabba
  • Ideas for things for us to save for (eg cooking classes and training, community days & meetings)
  • Ru wants us to save for an ice machine


Laundry (Liz)

  • Shane the plumber is coming in to fit two washing machines and a sink, benches and shelves in future
  • Floor has been painted
  • Timeline sees functionality within the next two weeks
  • We need a clothesline
  • Discussion around requiring a clothes dryer
  • Ru says that dryer will best respond to community needs
  • Liz trying to get a clotheshorse
  • Talk to Shane about installing another dishwasher where the little freezer currently is in the kitchen


Free shop (Jen)

  • Donation of corporate clothing going to Dress for Success, excess going a variety of places, including some staying here.
  • We need more winter clothes, surplus of summer clothes currently
  • Now taking donations of blankets to respond to community requests, will be stored in plastic crates in back room, eventually going to laundry
  • Floor has also been painted
  • Ru’s tentative proposal of a coat swap: live music and a cookup


Recruitment, rostering and procedures (Kevin)

  • Documenting procedures that are currently being used
  • Procedures will start in the kitchen but will be formed by each of the working groups
  • Working out a format for procedures, a checklist works well
  • New recruitment strategies and procedures are deprioritised


Manifesto (Kevin)

  • Very little work done
  • Collecting data on what people want to be in the manifesto
  • Data collected can be multimedia, and then used for different documentation – perhaps a project creating a video about The Space
  • Statement of purpose to have in the interim
  • More of a task group than a working group


PROPOSAL

  • Recruiting working group mandate (Kevin)
    • All in favour
    • Mandate copy on wiki
  • Secretary Role (Oliver)
    • Proposal outlined on Facebook page
    • Jemika or Camille
    • Changes every three months
    • Existence of role voted yes, person to fill role to come
  • Working group structure and communication (Kevin)
    • Some things don’t sit within working groups eg publicity, maintaining Belong relationship
    • Is Facebook working? Working group intercommunication is not super functional
  • Opening one less day (Indy)
    • Don’t have capacity to run five days
    • Re-evaluate at next meeting
    • Minutes taker very much got engrossed in conversation (sorry!)
    • Decided that we would shut on Wednesdays until next meeting

    • Monthly meetings, CC to plan next meeting (including having a Facebook event)
