ACTION POINTS
- Cedryck to make info for what’s for use in the garden.

Acknowledgment of country (Lisa)
September priorities, reduced operation hours.
- Annika talks about some people not wanting to close. Wanting to still stay open, yet different capacity (Thurs-Sat for meals and Sunday for coffee). Maybe Wednesday if it can go ahead (with Laina). Requests people still make sure they are taking the break if they need/want it.
- Laina mentions weekends are busiest. Wants to prioritise those days. More donations then too.
- Annika says, we need to keep things simple if we want to keep some momentum going. Can people be mindful of what they are able to do and only do that much.
- Kevin asks "what do you need'?
- Annika says we have enthusiastic shoppers.
- Who can we talk to if we need information over the next month.
- Lisa asks what kind of things we would need info on from those people and if we can avoid it.
- Soap and toilet paper (etc.) if runs out, and any important admin stuff need to know of?
- Kevin says we need to be mindful of public visibility. Kevin will send info so that people know what our responsibilities are and what not to be doing in the space. Essentially don't do anything new or out of the norm during this time.
- Maintenance of laundry - And, who has access to it?
- (Kevin says) It's a resource. Just don't go over the top with usage.
- Annika asks about what Liz does in background for reference of what else might need doing over this period.
- Mostly lots of general cleaning and keeping space and outdoors tidy.
- Laina says she sees Angel come in to do outdoor area clean at times.
- Kevin says to for people to message people directly (who do or know about specific thing) would be helpful as we can't talk about it all in this meeting.
- Kate mentions would be great to have a whiteboard where the you can more visibly see what tasks need to be done that day.
- People not seeing information of how-tos visibly in the kitchen. Easy to process how-tos are needed. (not September issue directly)
- Laina says there are some good cleaners in the group that would be keen to get into kitchen to organise and spring clean.
- Whilst others are away over September period, Annika, Toby and Rowan to be contact points over the September period.
- Annika, Toby, Rowan, are their best contacts. [Phone numbers omitted for security]
- Kate brings up what do if something break over that time (like how coffee machine did last week).
- Kevin says most things are related to building. Depends on who's here and if they know about it. Escalate to Communify to get fixed if nobody is knowledgeable about the specific situation.
- Common problems and solutions can go on the Wiki. (Some are already there for people)
- Shahni mentions some people don't use the Internet and Wiki and Facebook, or don’t find it as easy to access information in this way.
- Tawanda brings up allergy info. Would be good to have information written somewhere to let people know what is in the food for any allergies or intolerances. (Not September issue directly)
Gardens
- Removed netting.
- Approval for council for woodchips for weeds.
- Fencing has happened.
- Kitchen people can use garden stuff as it becomes ready
- Noted by others that people not don’t know or hesitant about what they are picking. Suggestion of information sheets brought up.
- ACTION: Cedryck to make info for what’s for use in the garden.
- Compost bins. Issue. Council not giving permission for us to rebuild compost bays. Full bins, Cedryck has sometime used his own bin to take compost matter to.
- Reminder: Please don’t put cardboard into bins (unless shredded). Bad for bins otherwise.
- Annika brings up some garden needing to be fuller (soil and holding soil)
Non violent communication workshop
- Annika:
- Saturday 3pm on the 9th, not longer than 2 hours. Free.
- Liz M (Annika’s mum) is running workshop.
- Helping processing internal stuff, situations in the space where better communication can be had.
- Will update online after meeting.
- Learning how to respond and not react (Angel says)
- Some people feel that the word 'violent' in title like this might not be as helpful as being put another way.
- ‘Compassionate communication’ a better term/phrase maybe.
- Angel, suggests 'Yarning' time or circle angle on it.
- ACTION: Annika to make FB post to remind about this workshop coming up.
Security
- Someone sleeping out the back mentioned. We are not thinking it's a complete stranger as they know their way around alarms and stuff. To be mindful of this.
- Access codes? Being mindful of who has them.
- Don't post codes on any group chats.
- Kevin says people who have a reason to be here can have access to door code.
- Codes to be regularly changed, with door code to building being changed to be changed every 3 months to keep current people in the know.
- Lockable cupboards being put in place for items needing more safety.
- Key locker suggestions. To have a code lock on where keys for all lock up things would be kept. Or combinations type locks for all locks, and those codes get changed regularly.
- Angel offers again a camera of hers to lend.
- Also on offer from Angel is free lockable cupboards if we can get them with a van or similar vehicle.
- Kitchen door lock changed (as it broke) and donation box lock changed.
- Will be a limit on who knows the donation box number until better system might replace it.
- Kevin mentions trying to get one of the back hall rooms that are lockable for our use.
Coffee machine fixed
- Leak is fixed and tap no longer needs to be turned off overnight.
MOU
- Seems to be rewording again (from Communify’s' end), or things being left out that were previously there to do with consultation in regards to signage.
- Kevin will let us know anything about that if needed.
Group Spring clean
- Ru have brought up that there is usually a spring clean around this time of year and if it will still be happening considering the break many are having over this period.
- Does Ru want to take on being in organisation of this happening? Annika will ask Ru about it.
- ACTION: Annika to talk to Ru to see if they want to organise a group cleaning day to happen.
Keeping track of membership and people who are on-site volunteers.
- Liability. Needs to be taken seriously and volunteer forms need to be filled out by people who volunteer on site.
- Annika asks about minors in the kitchen and how many might be the limit.
People moving on or breaking

AGM
- AGM needs to happen before the end of the year (after Kevin is back)

- Brief talk of breaking up these responsibilities into smaller chunks (where applicable) for many to contribute to this.
Managing threatening behaviours and threats from patrons
- Annika and Laina describe a recent example situation.
- What to do in situations like this...
- Policies on this…
- De-escalation skills
- Debriefing wanted by some.
- Is there reconciliation process or how to deal with if a person like that comes back to the space after ordeals like this..
- Who do we go to for problem solving in the space (like a 'senior type person'. Active intervention knowledge or people needed.
- Need to make space for this to have strategies (and consensus about it).
- Policies and procedures are needed here (note: in general for space too). Annika happy to draft some, but needs to know more from other people in space and their values.
- What won't be accepted.
- Values being brought up.
- At least to start with common human behaviour.
- Making a sign for "No violence" etc.
- Angel makes suggestion of a clapping action/solution when people are behaving in violent ways and pointing to a sign (for example) about what is not acceptable.
- Kevin suggests that people involved who want to debrief, for them to organise it amongst themselves from those involved.
- Kevin suggests gaining quick/basic info from people in jobs that involve de-escalations techniques (for examples).
- Annika suggests signs around for people to have simple visual reference. (when we have the info)
